Refund Policy

This policy explains when a refund may be available and how to request one. It does not promise an unconditional refund in every circumstance.

Review before you purchase

Each package's permitted-user limit, active-review limit, document-record limit and support level are described in full on the Pricing page. Please review this information carefully before purchasing, as it forms the basis for what is delivered.

Digital content and the right to cancel

ApproveTrail packages are digital content supplied electronically. Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, consumers normally have fourteen days to cancel a distance contract.

For digital content, that right ends once supply has begun with your express consent and your acknowledgement that the right to cancel will be lost. Where access has not yet been supplied, the fourteen-day right remains available.

Requesting a refund

Refund requests must be made through our official request channel: email hello@approvetrail.co.uk with your order reference, the email address used at checkout, the date of purchase and a description of the issue. Requests made by any other method may take longer to process.

Requests are acknowledged within one business day.

Eligibility

Eligibility for a refund depends on what has already been delivered under your package, including whether digital access has been granted, whether initial setup or configuration work has been carried out, and whether support has already been provided.

  • Access or setup information has not yet been supplied and you cancel within fourteen days.
  • The software as delivered does not provide the permitted-user, active-review or document-record capacity stated for the package purchased, and the issue cannot be corrected within a reasonable time.
  • A duplicate or accidental payment has been taken.
  • Delivery of access fails and the failure is attributable to ApproveTrail rather than to an incorrect email address supplied by the customer.

Custom configuration and work already carried out

Where a package includes custom configuration, initial setup or onboarding work, any refund may be reduced to reflect the proportion of that work already completed on your behalf.

When a refund will not normally be given

  • The package has been delivered and works as described, but you have changed your mind after supply began with your consent.
  • Access has been shared beyond the permitted-user limit or used in breach of the Acceptable Use Policy.
  • Delivery failed because an incorrect email address was provided at checkout.

How refunds are paid

Approved refunds are issued through Stripe to the original payment method used for the purchase. Stripe typically returns funds within five to ten business days, depending on your bank or card issuer.

Your statutory rights

Nothing in this policy affects your statutory rights as a consumer under the Consumer Rights Act 2015 or the Consumer Contracts Regulations 2013. If you disagree with a refund decision, you may escalate through the Complaints procedure or seek independent advice from Citizens Advice.
