Questions and Answers

What is ApproveTrail?

ApproveTrail is digital document-review and approval-management software for freelancers, consultants, creative professionals and small business teams. It helps you organise documents that need review, collect reviewer feedback, track approval status, keep revision notes and monitor document versions in one structured workspace.

Who operates ApproveTrail?

ApproveTrail is independently owned and operated by Tilak Giri as a sole trader in the United Kingdom, based in Havant.

Is ApproveTrail a limited company?

No. ApproveTrail is an independent sole trader business based in the United Kingdom. It is not a limited company, corporation or partnership.

Who is ApproveTrail for?

Freelancers, independent consultants, creative professionals, small agencies and small business teams who need a clear, repeatable way to move documents through review and approval stages.

Are the packages subscriptions?

No. Every listed package is a one-time purchase. There is no subscription plan and no recurring monthly or annual billing.

Are payments one-time?

Yes. Each package is paid for once in GBP through Stripe's secure embedded payment interface on this website.

Is there automatic renewal?

No. Packages do not renew automatically. Nothing is charged again unless you choose to purchase another package.

What happens after purchase?

Stripe confirms the payment, the confirmation page verifies it directly with Stripe, the selected package is reviewed, and digital access or setup information is sent to the email address entered at checkout.

How is digital access provided?

By email to the address entered during checkout. Access details are issued after payment has been confirmed and the package reviewed; accounts are not created automatically at the moment of payment.

Which package should I choose?

Choose according to how many people need access, how many documents you review regularly and how many reviews are typically active at once. If you are unsure, contact us with those numbers and the closest fit will be suggested.

How many users are included in each package?

One user with Review Starter and Review Plus, three with Professional Approval, five with Business Review Hub, eight with Team Approval Suite, twelve with Advanced Approval Platform and twenty with the Complete Review System.

What are the active-review limits for each package?

Ten active reviews with Review Starter, thirty with Review Plus, seventy-five with Professional Approval, one hundred and fifty with Business Review Hub, two hundred and fifty with Team Approval Suite, four hundred with Advanced Approval Platform and seven hundred and fifty with the Complete Review System.

What counts as an active review?

An active review is a document record that is currently moving through a status such as Ready for Review, Under Review, Changes Requested, Revised or Awaiting Approval. A document is no longer active once it is marked Approved and archived.

Do archived reviews count towards my limit?

No. Once a document reaches Approved status and is archived, it is kept for reference and no longer counts towards your active-review limit.

Can additional users be requested?

Yes. Additional users beyond your package limit can be discussed and may require a separate quotation.

Can I request additional review capacity?

Yes. If you regularly reach your active-review limit, contact us with your current package and typical volume so additional capacity can be discussed and quoted.

Can I upgrade to a larger package later?

Yes. Contact us with your current package and what you now need, and the difference in price and what is involved will be confirmed in writing before anything changes.

How does ApproveTrail help organise reviewer feedback?

Reviewer comments and notes are recorded against the specific document and stage they relate to, so feedback stays attached to the right version instead of scattered across email threads.

Can I track different document versions?

Yes. Document version records let you see the sequence of drafts and revisions for a document, depending on the version-tracking depth included in your package.

Can I record revisions and what changed?

Yes. Revision notes let you record what was changed, when and in response to which feedback, so the history of a document remains clear.

Can I customise approval stages?

Configurable approval stages are included from Professional Approval upwards, letting you adapt the sequence of statuses to match how your review process actually works.

Can I export approval summaries?

Export options for approval summaries are included in the mid and larger packages. Exports are organisational summaries of the records you have entered, not certified documents.

Does ApproveTrail offer team options?

Yes. From Professional Approval upwards, packages include shared records, reviewer roles or team structures so several people can work within the same approval workspace.

What are the approval statuses used in ApproveTrail?

Draft, Ready for Review, Under Review, Changes Requested, Revised, Awaiting Approval, Approved and Archived. Each status has a single clear meaning so a document's stage is never ambiguous.

Does ApproveTrail provide legal advice?

No. ApproveTrail is a workflow and approval-management tool. It does not provide legal advice, and nothing generated within it should be treated as a legal opinion.

Does ApproveTrail certify documents or signatures?

No. ApproveTrail does not provide document certification or electronic-signature certification. It organises the review and approval process around documents you manage yourself.

Is ApproveTrail an e-signature provider?

No. ApproveTrail is not an e-signature platform. It tracks approval status and reviewer feedback; obtaining any signature required on a document remains your responsibility.

Does ApproveTrail guarantee that a document will be approved?

No. ApproveTrail organises the review process and tracks status. It cannot guarantee approval, since the approval decision itself always rests with your reviewers or clients.

Does ApproveTrail send automatic reminders?

No. ApproveTrail does not send automatic reminders on your behalf. Review deadlines can be recorded where your package supports them, but following up remains your responsibility.

Does ApproveTrail provide real-time collaborative editing?

No. ApproveTrail organises documents, feedback and approval status. It is not a real-time collaborative editing tool, and documents are not edited live inside the software by multiple people at once.
